Description
We are seeking a highly responsible and detail-oriented Back Office Administrator to act as the operational gatekeeper and key support pillar within a dynamic foreign exchange and financial services environment. This role is vital in ensuring financial accuracy, compliance, and process integrity across multiple branches, while also supporting leadership through transparent reporting and regular audits.
This multifaceted position requires a unique blend of accounting knowledge, administrative diligence, and the ability to step into frontline operations when needed.
Key Responsibilities

Serve as the CEO’s primary back office liaison; compile and deliver regular operational and financial reports.

Conduct weekly cash counts at Windhoek branches and virtual cash counts with outlying branches.

Audit and review key accounts and transactions, including:

Transport to airport invoices
-
Daily EFTs, internal transfers, surpluses and adjustments

FX commission reports (charged vs waived)
-

Monitor and audit branch-level HR movements and ensure adherence to internal controls.

Provide ongoing feedback and insights to help optimize customer service quality.

Oversee teller performance reviews and conduct or assist with refresher training annually.

Support annual fire extinguisher renewals for all branches.

Audit and reconcile MTC card activity.

Identify and report operational variances or irregularities promptly.

Occasionally assist with in-house marketing tasks as needed.

Be present for year-end cash counts and other critical financial close procedures.
Tools & Technology

Screen monitoring with camera interface (used for remote audits and cash counts)

Internal financial systems and EFT platforms

MS Office Suite (Excel, Word, Outlook)
Requirements
-
Diploma or degree in Accounting, Finance, Business Administration, or related field.

2–4 years experience in a financial back office, treasury, or operations role.

Strong knowledge of reconciliation, cash handling, and internal audit processes.

Ability to work independently, prioritize effectively, and maintain a high level of integrity.

Excellent communication skills—both written and verbal—for regular reporting to the CEO.

Experience in customer service environments and working with multiple branches is a plus.

Flexibility to perform occasional marketing support and staff training duties.

Valid driver’s license.
