Description
We are seeking a highly organized and proactive individual to join our team as a Merchandising Administrator. The successful candidate will be responsible for coordinating administrative, payroll-related, and operational support functions across multiple branches in Namibia, ensuring accuracy, compliance, and smooth service delivery.
Key Responsibilities:
1. Overseeing Branches' timesheet entries / updates
- Ensure timeous timesheet entries weekly
- Ensure that branches in Namibia abide by timeous timesheet entries weekly.
- Work closely with all the supervisors at different branches for timeous entries and capturing timetables.
- Verifying timesheets uploaded on Teams folder for each branch to ensure honest timesheet entries to ensure transparency and accuracy in the quotes provided to our customers.
2. Invoicing
- Ensure that invoices for all Shared clients are correct and done before the 21st of every month and then sending it through to Wage Office.
3. Pay queries
- Handle pay queries through wages when they arise.
4. PPE
- Ensure that PPE is ordered and all necessary documents are signed by merchandisers.
- Handling AOD'S
5. Team folders
- Update team folders at the end of every cycle and load new clean sheets for the next cycle.

7. Client WhatsApp group monitoring
- Daily monitoring of the various WhatsApp groups of the clients, ensuring standards are upkept. Direct responsibility over Windhoek Shared Merchandisers.
8. Liaise with Branch Supervisors of Shared Merchandisers countrywide
- Keeping in contact with branch supervisors daily to ensure smooth process of merchandising services to our shared clients all over the country.
9. Quality Control
- Ensure upkeep of our and the Client's standards, by liaising with Supervisors to ensure their respective merchandisers keep to standards. Monitoring of the various WhatsApp groups to ensure compliance and standards. Assist with training as needed.
10. Client merchandisers taxi allowance
- Assist every Friday with clients & Shared merchandisers taxi allowance and update list, allocate allowance to specified merchandisers and load e-wallet onto APSUAT.
Requirements
- Grade 12
- Administrative skills
- Knowledge of Excel will be of advantage
- Time management
- Conflict resolution / management
- Communication Skills
- Ability to work under pressure
