Description

Job Purpose

To maintain and administer the company's lifting equipment documentation system, ensuring that all lifting gear, loose lifting equipment, cranes, and associated accessories are accurately recorded, monitored, and compliant with statutory and company requirements. The role is responsible for managing the live digital lifting register, T-card tracking system, inspection schedules, certification records, expiry notifications, and monthly compliance reporting.

Key Responsibilities

Lifting Register Management

  • Maintain and update the live digital lifting equipment register.
  • Ensure all lifting equipment is uniquely identified and accurately recorded.
  • Upload and archive inspection certificates, test reports, and supporting documentation.
  • Verify that equipment details, locations, safe working loads (SWL), and certification status remain current.

T-Card System Administration

  • Manage the lifting equipment T-card system.
  • Create, update, and close T-cards as equipment is added, removed, inspected, repaired, or disposed of.
  • Monitor outstanding actions and ensure timely completion.

Certification & Compliance Monitoring

  • Track inspection, proof load testing, and certification expiry dates.
  • Ensure compliance with applicable statutory, client, classification society, and company requirements.
  • Coordinate with inspectors, vendors, and operational personnel to schedule required inspections and renewals.

Expiry Notification Management

  • Issue automated or manual email alerts for lifting equipment certificates due to expire.
  • Provide notifications at least 6 weeks prior to expiry.
  • Follow up with responsible departments to ensure renewal actions are completed before expiration.

Reporting

  • Prepare and submit the monthly lifting equipment status report.
  • Ensure the report is issued by the 5th day of the following month.
  • Include certification status, upcoming expiries, overdue inspections, equipment additions/removals, and compliance statistics.
  • Maintain accurate records for audits and management review.

Documentation Control

  • Maintain electronic and hard-copy filing systems where required.
  • Ensure document version control and traceability.
  • Support internal and external audits by providing requested documentation promptly.

Continuous Improvement

  • Identify opportunities to improve lifting equipment tracking and reporting processes.
  • Assist with implementing digital solutions and automation tools to enhance compliance management.

Requirements

Qualifications

  • Diploma or Certificate in Administration, Engineering Support, Technical Documentation, Maintenance Planning, or related field.
  • Training in lifting equipment management or document control is advantageous.

Experience

  • Minimum 2–3 years' experience in document control, maintenance planning, lifting equipment administration, or a related technical environment.
  • Experience with digital asset registers, maintenance management systems, or lifting gear databases preferred.
  • Marine, onshore, oil & gas, mining, or heavy industrial experience is advantageous.

Skills & Competencies

  • Strong document management and record-keeping skills.
  • High attention to detail and accuracy.
  • Proficiency in Microsoft Excel, Word, and database management systems.
  • Ability to generate reports and analyze compliance data.
  • Effective written and verbal communication skills.
  • Strong organizational and time-management abilities.
  • Ability to manage multiple deadlines and priorities.

Key Performance Indicators (KPIs)

  • 100% accuracy of lifting equipment register records.
  • Monthly report submitted by the 5th of each month.
  • Expiry notifications issued 6 weeks before certificate expiry.
  • Zero overdue certification renewals due to administrative oversight.
  • Successful completion of audits with minimal documentation findings.
  • Timely updating of T-cards and certification records.

Operational Requiements

During active operations, a 24/7 operational manning regime by rotational shifts, including nights, weekends, and public holidays, for all operational roles required to support vessel operations, loadouts/backloads, quayside activities, yard operations, customs and materials handling, and time-sensitive drilling logistics.
