Description
Our client is looking for an Administration Supervisor to lead their hub's admin team and oversee regional finance, transport, and administrative workflows. This role requires a solid accounting background, 3+ years of supervisory experience and proficiency in SAP and advanced Excel. Key Responsibilities:
Team & HR Support
- Lead, manage, and develop the administrative staff.
- Oversee POD, IBT, transport admin, and helpdesk processes.
- Process and submit staff timesheets, leave, and overtime to Head Office.
Financial Control
- Manage regional budgets, control sheets, and petty cash reconciliations.
- Process vendor invoices, issue order numbers, and track creditors.
- Reconcile General Ledger accounts against forecasts and analyze overspend.
- Assist with annual budget preparation and monthly exception reporting.
Transport & Logistics Admin
- Act as the main contact for local transport providers.
- Audit PODs, driver hours, and daily transport log sheets.
- Reconcile electronic and manual delivery data for Head Office.
- Resolve store delivery issues and monitor diesel consumption.
Client, Risk & General Admin
- Maintain the claims control sheet and submit dashboards to management.
- Manage supplier orders, client stock takes, and store complaints.
- Update regional health and safety (SHE) training matrices.
- Coordinate corporate social investment (CSI) projects and meetings.
Requirements
Requirements & Qualifications:
- Education: Business Administration Certificate or diploma.
- Leadership: Minimum 3 years of supervisory experience as a proven team leader.
- Industry: Previous experience in a transport or logistics company’s finance department is required and advantage.
- Finance: Solid accounting background with strong financial control skills.
- Systems: Proficiency in SAP and advanced MS Excel.
- Administration: Strong administration skills to manage complex regional workflows.
- Core Skills: High numeracy, exceptional attention to detail, and audit awareness.
- Traits: Self-starter, highly organized, stress-tolerant, and deadline-driven.
