Description

The Farm Financial Clerk is responsible for maintaining accurate and up-to-date financial records for the farm. This includes processing invoices, managing payroll, reconciling bank statements, and assisting with budgeting and financial reporting. The ideal candidate will have strong organizational skills, attention to detail, and a solid understanding of basic accounting principles.

Responsibilities:

  • Accounts Payable and Receivable:
    • Process and verify invoices from suppliers and vendors.
    • Generate and send invoices to customers.
    • Track and record payments and receipts.
    • Maintain accurate records of accounts payable and receivable.
    • Follow up on overdue payments.
  • Payroll Processing:
    • Collect and verify employee time sheets.
    • Calculate and process payroll, including deductions and taxes.
    • Prepare and distribute paychecks or direct deposits.
    • Maintain accurate payroll records.
    • Handle payroll-related inquiries from employees.
    • Prepare and file necessary payroll tax forms.
  • Banking and Reconciliation:
    • Record and reconcile bank transactions.
    • Prepare bank deposits.
    • Monitor bank balances and report any discrepancies.
    • Reconcile credit card statements.
  • Record Keeping and Reporting:
    • Maintain accurate and organized financial records.
    • Enter data into accounting software.
    • Generate financial reports, such as income statements and balance sheets.
    • Assist with the preparation of budgets and financial forecasts.
    • Maintain inventory records.
  • General Administrative Duties:
    • Answer phone calls and respond to inquiries.
    • File and organize documents.
    • Assist with other administrative tasks as needed.
    • Purchase office and farm supplies as needed.
  • Compliance:
    • Ensure compliance with all applicable tax laws and regulations.
    • Maintain confidentiality of financial information.
    • Assist with audits.

Requirements

Required Skills and Qualifications:

  • High school diploma or equivalent; associate's or bachelor's degree in accounting or related field preferred.
  • Proven experience in bookkeeping or accounting, preferably in an agricultural setting.
  • Proficiency in accounting software (e.g., QuickBooks, Xero) and Microsoft Office Suite (Excel, Word).
  • Strong understanding of basic accounting principles.
  • Excellent organizational and time-management skills.
  • Attention to detail and accuracy.
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Knowledge of payroll regulations.
  • Ability to maintain confidentiality.
  • Basic understanding of farm operations and terminology is a plus.

Preferred Qualifications:

  • Experience with agricultural accounting practices.
  • Familiarity with farm management software.
  • Knowledge of agricultural tax laws and regulations.

Working Conditions:

  • Typically works in an office environment.
  • May require occasional travel to other farm locations or suppliers.
  • May require working extended hours during peak seasons.
