Description

We are seeking a dedicated and highly organized Office Administrator to join the team. The ideal candidate will be responsible for providing comprehensive administrative support, managing inventory, coordinating financial processes, and ensuring smooth day-to-day operations within the company.

Key Performance Areas:

  • Resolve all office enquiries and maintain inventory of all supplies and perform all clerical work within the general office environment.
  • Maintain all tax certificate / good standing files for all company activities.
  • Monitor processing all event invoices and preparing reports for monthly committee meetings.
  • Manage and resolve all issues in relation to member accounts and inform all members of payments when due.
  • Manage and resolve all issues in relation to WAP members and accounts.
  • Ensure regular invoices of all clients and provide support to company staff and maintain required database to resolve all queries efficiently.
  • Completion of all monthly supplier reconciliations with all supporting documentation.
  • Coordinate with External financial consultant in relation to all accounts payable transactions and monitor all payments to suppliers.
  • Management of all employees under direct supervision - clearers.
  • Coordinate with Sport Bar to ensure sufficient inventories for all events.
  • Manage weekly ordering of Bar inventory from suppliers.
  • Completion and submission of Monthly Payroll files for payment.
  • Maintenance of all employee files and contracts.
  • Develop and maintain effective relationships with all members, clients and staff.
  • Assist where required during Annual Financial Audit.
  • From time to time, assist during significant events held at the company.
  • Any other ad-hoc duties as requested by Management committee.

Requirements

Skills and experience required:

  • A minimum of 5 years administrative experience
  • Effective communication, selling and negotiating skills.
  • Ability to work independently as a self-starter within the team.
  • A passion to succeed in a challenging environment.
  • Computer knowledge is mandatory.
  • Knowledge of financial accounting systems an advantage.
