Description

The Optometric Practice Manager is responsible for overseeing the daily operations of the optometry practice to deliver a seamless patient experience and maintain an efficient, organized workflow. This role includes managing team performance, financial health, patient relations and administrative tasks such as reconciling debtors and creditors and processing medical aid submissions.

Key Responsibilities:

Operational Management:

  • Supervise daily practice operations to maintain smooth functioning.
  • Ensure compliance with health, safety, and regulatory policies.
  • Oversee patient scheduling and optimize appointment workflows.

Staff Management:

  • Recruit, train, and lead office staff and optometric assistants.
  • Cultivate a positive, collaborative and productive work environment.

Financial Management:

  • Manage billing and medical aid claims processing, ensuring accurate and timely submissions.

Patient Relations:

  • Address patient concerns and resolve complaints to maintain high satisfaction levels.
  • Manage patient communications, including appointment reminders and follow-up instructions.
  • Implement retention strategies and initiatives to attract new patients.

Administrative Duties:

  • Ensure accurate patient record-keeping and manage the practice’s Electronic Health Record (EHR) system.
  • Adhere to relevant standards and regulations, especially regarding data protection and confidentiality.
  • Oversee inventory and supplies to ensure the practice remains well-stocked and operational.

Requirements

Education:

  • Minimum requirement of a Grade 12 certificate.

Experience:

  • Experience in a healthcare or optometric environment is beneficial.
  • Demonstrated experience in staff management, financial oversight and operational efficiency.

Skills:

  • Strong leadership and team management abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in financial management and reporting.
  • Knowledge of healthcare regulations and compliance.
  • Familiarity with practice management software and EHR systems.

Working Conditions:

  • Mondays to Fridays, 9:00 to 18:00; Saturdays, 9:00 to 14:00, with two Saturdays off each month. No Sundays.
  • Office environment with direct interaction with patients and staff.
