Description

We are seeking a dynamic Receptionist/Administrator to be the welcoming face and organized backbone of our office. In this role, you will handle a variety of administrative tasks, manage incoming calls, assist visitors, and respond to inquiries with professionalism. You will work closely with colleagues and managers to keep daily operations running smoothly, providing valuable support to both clients and the internal team.

Key Responsibilities:

  • Managing data and office systems
  • Manage data in spreadsheets, office systems, and reports.
  • Keep records and reports up to date.
  • Help maintain the budget plan.
  • Organise and schedule meetings and events.
  • Manage SSC registrations and de-registrations.
  • Compiling monthly reports as per request from Manager.
  • Request orders and payments.
  • Assisting with ticket and recon capturing.
  • Repairing, organising, and storing information in paper and digital forms.
  • Dealing with queries on the phone and by email.
  • Responsible for taking inventory of office supplies and placing orders accordingly.
  • Assist with recruitment.
  • Filing of documentation.

Managing employee contracts

  • Capturing of employee data.
  • Capturing of contracts and scanning of employee contract to filing systems.
  • Maintain employee contracts per client.
  • Record keeping of quantity of employees at clients.

Maintain PPE

  • Ordering of PPE per employee versus client.
  • Verifying client quotations versus ordering of employee PPE.
  • Capturing of PPE on the system.
  • Managing returning of PPE and capturing on the system.

Managing office stock, preparing regular reports and organizing company records

  • Maintain inventories of office equipment and office stock.
  • Preparing reports and records of employees/clients.

Requirements

Minimum Education and Training

  • Grade 12
  • Office Administration Diploma/Certificate
